The daily challenges of managing multiple construction sites

Juggling sites, teams and deadlines becomes overwhelming without the right tools.

Losing track of multiple sites

When you oversee five or ten sites, knowing who's where, which tasks are behind schedule and which teams need support becomes impossible with spreadsheets.

Delayed progress reporting

Site managers call at the end of the week with their timesheets. By then, you've already lost days to correct over-allocated resources or missed deliveries.

Scattered team coordination

Coordinating site managers, subcontractors and internal teams across phone calls, WhatsApp and email. Critical updates slip through the cracks.

No clear overview of profitability

Hours are buried in paper timesheets or scattered Excel files. You only discover budget overruns when invoicing, too late to take corrective action.

Multi-site coordination

See all your sites and teams in one unified planning view

The team planning view (Business plan) lets you supervise all active sites simultaneously. See day, week, month or Gantt views to allocate workers, equipment and subcontractors across projects. Filter by team or site to zoom into what matters.

Day, week, month and Gantt modes

Switch between views to plan the day's crew movements or map out the month's resource allocation. Gantt mode displays overnight shifts as single bars.

Group by person or by site

Toggle between person-centric rows (see each worker's schedule) and site-centric rows (see workload per project). Colour-coded for instant clarity.

Filter by team or person

Focus on specific crews (e.g. "Electrical team") or individual site managers. Hide unrelated resources to reduce visual noise.

Drag-and-drop reassignment

Move tasks between people or days with a single drag. Automatic conflict alerts prevent double-booking. Changes sync instantly to mobile.

Plan requirement: Team planning is available on the Business plan. Smart plan users see their personal planning only.

Project oversight

Assign clear roles and supervise every site from creation to handover

Each site has a designated works supervisor and site manager. You control visibility: works supervisors see all project details and timesheets for their sites, site managers coordinate on-site execution. Everyone works from accurate, up-to-date information.

Works supervisor

Oversees project planning, validates timesheets, manages subcontractors and budgets. Full access to all project data and team hours.

Site manager

Coordinates field execution, logs daily progress, reports issues. Can validate timesheets for project team members. Mobile-first role.

Site team

Workers, subcontractors and equipment assigned to the project. Everyone sees their schedule, documents and tasks for this site.

  • Create sites in a 10-step wizard: basic info, team, equipment, subcontractors, trade packages and document templates
  • Set custom working hours per site, including night shifts (J+1) and no-break shifts for security or shift work
  • Track site status (Active, Completed, Inactive) and filter your dashboard accordingly
  • Define planned hours per trade package (Business plan) to monitor progress and remaining budget
Time tracking

Validate field timesheets in minutes, not hours

Workers and site managers log hours from mobile. You review and approve timesheets from the office with one-click validation. Pre-filled start/end times from planning reduce data entry. Accurate hours feed directly into payroll and project costing.

Mobile time entry

Field teams log hours on-site from iOS or Android. Times pre-filled from planning. Offline mode syncs when connection returns.

Bulk validation

Review pending timesheets in the "Pending" tab. Approve multiple entries at once or flag discrepancies. No more re-typing illegible paper forms.

Role-based permissions

Works supervisors and site managers validate timesheets for their project teams. Admins see all entries. Workers can only edit their own, if allowed by your settings.

Summary view per site

The "Summary" tab shows total hours per person, per site, per period. Spot anomalies and budget drift at a glance before they escalate.

Plan requirement: Timesheets are available on the Business plan. You can configure whether workers can create their own timesheets via the user_can_create_timesheet setting.

Reporting & insights

Make informed decisions with custom reports and cross-tabulated data

The Insights tab (available to admins from Smart plan onwards) lets you build custom reports on timesheets, planning, absences, sites and users. Export to Excel or PDF. Pivot tables show hours by person and by site per month. No more manual spreadsheet consolidation.

Statistics tab (dashboard)

Two pivot tables: hours by user (12 months + total) and hours by site. Sort by name or total. Select the year to review historical data.

Custom report builder

Four-step wizard: pick a data source (timesheets, planning, sites…), apply filters, choose a format (table, pivot, chart, KPI), name and save.

Relative date filters

Choose "This month", "Last week", "Last 90 days" or custom date ranges. Reports update automatically as time advances.

Excel & PDF export

Export any report to .xlsx (with auto-sized columns and bold headers) or landscape PDF. File name includes report name and date.

  • Share reports with other admins or keep them private. Mark favourites for quick access.
  • One-click Excel export from list views (timesheets, absences, users, sites, equipment, subcontractors…)
  • Display formats: simple table, pivot table, bar chart, pie chart or single KPI metric (sum, average, count…)

Access: The Statistics and Insights tabs are visible to Super Admins and Administrators only. Other roles can export their own data from list views where permitted.

Frequently asked questions

Common questions about using Klear as a construction manager

Can I see the planning for all my sites in one view?

Yes. The team planning view (Business plan) shows all active sites simultaneously. You can switch between day, week, month and Gantt modes, and toggle between grouping by person or by site. Filter by team or specific people to focus on what you need. Every planning change syncs instantly to the mobile app, so site managers see updates in real time.

What's the difference between a works supervisor and a site manager?

A works supervisor oversees project planning, budgets, subcontractor management and timesheet validation from the office. They have full access to all project data. A site manager coordinates field execution on-site, logs daily progress, reports issues and can validate timesheets for their project team members. Both roles can create and manage sites, but site managers typically work from mobile while works supervisors use the web interface. You assign these roles when creating a site in the 10-step wizard.

How do I export timesheet data to share with my accountant or payroll department?

You have two methods. First method: go to the Timesheets section and click the Excel export button at the top of the table. This exports the filtered data you're currently viewing. Second method (admins only): use the Insights tab on the dashboard to build a custom report on the "Timesheets" data source, apply date filters (e.g. "Last month"), then export to Excel or PDF. The Excel file includes bold headers, auto-sized columns and times in HH:MM format, ready for payroll processing.
