Construction site scheduling shouldn't be a daily headache
Recognise these challenges? Paper schedules, fragmented communication, double bookings—all slowing you down.
Outdated schedules
Weather delays, absences, last-minute changes—Excel spreadsheets are obsolete before you've even printed them.
Double bookings
The same person or piece of equipment assigned to two sites at once. Discover the clash only when it's too late.
Lost in translation
Updates sent via SMS, WhatsApp, phone calls. The subcontractor never received the message; the foreman finds out on arrival.
Schedule people, equipment and subcontractors in one view
With Klear's team scheduling (Business plan), you see the whole picture: who's assigned where, which equipment is free, when the subcontractor arrives—all in a unified, drag-and-drop interface.
- Three resource types: team members, equipment, subcontractors in dedicated tabs
- Multiple views: day, week, Gantt week, Gantt month, full month—pick the scale that suits you
- Group by person or by site: switch perspective to spot overloads or gaps instantly
- Filter by team: focus on specific crews or see only unassigned resources
- Automatic conflict alerts: avoid double bookings before they happen
Team scheduling requires the Business plan. The Smart plan includes personal scheduling only.

Every team member sees their own schedule—on web and mobile
Each person accesses their personal schedule with tasks assigned to them, times, sites and notes. Available on both web and mobile apps (iOS and Android), even for the Smart plan.
- Always up to date: changes sync in real time; no more SMS or phone calls
- Mobile-first: check today's assignments from the van or the site
- Task notes: view instructions, safety reminders or client details directly in the entry

Personal scheduling is included in both Smart and Business plans.

Frequently asked questions
What's the difference between Smart and Business plans for scheduling?
The Smart plan includes personal scheduling only—each user sees their own tasks on web and mobile. The Business plan adds team scheduling: managers and site supervisors can view and edit the schedule for multiple people, equipment and subcontractors in a unified interface with day, week, Gantt and month views.
Can I schedule equipment and subcontractors like I schedule people?
Yes—Klear treats people, equipment and subcontractors as three separate resource types. In the Business plan, you'll find dedicated tabs for Equipment and Subcontractors in the team schedule. You can assign them to sites, set times, add notes and avoid double bookings just as you would for team members. On mobile, a resource-type picker lets you choose which type to schedule.
What are "free tasks" and when should I use them?
A free task is a schedule entry not linked to any site or project—useful for blocking time for internal meetings, training courses, medical appointments or travel. Free tasks appear in grey with a dashed border in the calendar. They're visible in the person's schedule (and in any site schedule that person is assigned to) so you avoid double bookings, but they don't generate timesheet entries or appear in project reports.
